Refund Policy

This Refund Policy explains how cancellations, refunds, and payment disputes are handled for the creative services offered by Nexira Studios (the "Studio", "we", "us", or "our"), including digital art creation, custom illustration design, brand visual design, social media creative design, and website and landing page graphics. This Policy forms part of our Terms of Service, and capitalized terms used here have the meaning given to them in the Terms. Because every commission is custom work produced to an individual brief and delivered digitally, refunds are structured differently than for ready-made physical goods, as described below.
1. Nature of Custom Digital Work
Every commission is created from scratch for a specific client according to an approved brief and quote. Production time is reserved for your project, concepts are developed exclusively for you, and the resulting files are digital and cannot be physically returned once delivered. For these reasons, refund eligibility is based on the stage of the project at the time of a cancellation or complaint, on the approvals given during the process, and on the remedies already offered, rather than on a simple return of goods.
2. Quotes, Deposits, and Reserved Production Time
A commission begins only after you confirm a written quote and, where required by the quote, pay the agreed deposit. The deposit confirms the commission, reserves production time in the Studio's schedule, and is applied toward the total price of the project. The remaining balance is due upon approval of the final artwork and before the release of final files, unless the quote states otherwise.
3. Cancellation Before Work Begins
You may cancel a commission by written notice at any time. If your written cancellation is received before any concept or production work has started, all amounts you have paid for that commission, including the deposit, will be refunded in full to the original payment method.
4. Cancellation During Production
If a commission is cancelled after work has begun, the Studio is entitled to retain a share of the payments proportional to the work completed at the time of cancellation. Once the concept and direction stage has been delivered, the deposit is considered earned and is non-refundable. If cancellation occurs during the creation or refinement stages, the Studio will document the work completed and retain a corresponding portion of the total price, refunding any amounts paid above that portion. If a commission is cancelled after the final artwork has been approved or the final files have been delivered, no refund is due.
5. Monthly Design Programs
Ongoing programs, such as monthly social media creative design, are billed in advance for each billing period. You may cancel a program with written notice at any time before the start of the next billing period, and no further periods will be charged. Fees for the current billing period are not refunded once that period has begun, and unused requests or deliverables within a period do not roll over or convert into refunds unless the quote expressly states otherwise.
6. Revisions Come First
Each commission includes two rounds of refinement within the approved concept, as described in the Terms of Service. If a delivered draft or final file does not meet your expectations, the first remedy is always revision: tell us in writing what needs to change, and the Studio will address it within the included rounds or, where the request goes beyond the approved concept, propose a quoted adjustment. Refund requests based on creative preference are considered only after the included refinement rounds have been offered and reasonably used.
7. Non-Conforming or Defective Deliverables
If final files are technically defective, for example corrupted, delivered in the wrong agreed format, or materially different from the approved concept and written brief, notify us in writing within seven (7) days of delivery. The Studio will correct and redeliver the files at no additional cost. If the Studio is unable to bring the deliverables into conformity with the written brief within a reasonable time, you will be offered an appropriate partial or, where justified, full refund of the affected commission.
8. Situations Not Eligible for a Refund
Refunds are not provided in the following situations: a change of mind or change of business plans after the final artwork has been approved or delivered; dissatisfaction based on subjective preference where the deliverables conform to the brief and the approvals you gave at each stage; delays or interruptions caused by your failure to provide materials, feedback, or approvals; costs of third-party licenses, such as typefaces or stock assets, that have already been purchased for your project; rush fees for expedited work that has already been performed; and commissions whose deliverables you have already published, printed, or otherwise used commercially.
9. How to Request a Refund
To request a refund, write to the Studio at the email address listed at the end of this Policy within fourteen (14) days of the delivery date or the cancellation date, whichever applies. Please include your full name, the details of your order, and a description of the reason for the request. We will review the request and respond within five (5) business days. Approved refunds are issued to the original payment method; depending on your bank or payment provider, the funds typically appear within five (5) to ten (10) business days after the refund is issued.
10. Chargebacks and Payment Disputes
If you have any concern about a charge, please contact the Studio first so that we can resolve it directly; most questions are settled within a few business days. If a chargeback or payment dispute is opened while a commission is in progress, the Studio may suspend work until the dispute is resolved. Where a chargeback is filed for work that was delivered in accordance with the approved brief and these policies, the Studio reserves the right to submit full documentation of the project to the payment provider and to revoke any licenses granted for the disputed work until payment is restored.
11. Effect of Refunds on Licenses
Licenses and rights in commissioned artwork are granted in exchange for payment. If a commission is refunded in full, all licenses granted for that work terminate automatically, and you must cease using and delete all delivered files and any derivatives of them. If a partial refund is issued, the parties will confirm in writing any corresponding adjustment to the scope of the license.
12. Statutory Rights
Nothing in this Policy limits any rights or remedies that you have under applicable consumer protection law and that cannot lawfully be excluded or restricted. Where such law grants you broader refund rights than those described here, the law prevails to the extent of the conflict.
13. Changes to This Policy
The Studio may update this Refund Policy from time to time. The revised version will be posted on this page with an updated "Last Updated" date and applies to commissions confirmed after that date. The version in force when your quote was confirmed applies to that commission.
